Our legal name is Hashspace Limited. We trade as Hashspace and our website is www.hashspace.co.uk. You can reach us for legal or billing matters at [email protected]. These terms are governed by the laws of the United Kingdom and disputes will be handled by the courts of England & Wales. This is a business‑to‑business agreement written in clear, plain English. Your statutory rights, if any, are not affected.
We help landscaping businesses win more and better work by providing website design and build, our Hashspace Digital CRM and automation platform, review and re‑activation campaigns, paid ads management on platforms such as Google and Meta, and ongoing site management and hosting. Your Order Form or Statement of Work (SOW) sets out exactly what you will receive. If something is not written in the SOW, it is not included.
We keep things simple with one plan at £497 per month that covers Hashspace Digital, website design and hosting. To start, you pay £497 up‑front as a refundable deposit, and you then receive a three‑month free trial of Hashspace Digital together with the included services. If you continue after the trial, we apply your deposit to month four and normal monthly billing of £497 continues from there. If you are not happy, you can ask for a refund of the £497 deposit during the trial or within seven days after the trial ends by emailing [email protected]. If we do not hear from you within that window, the deposit is used as payment for month four and no refund will be available. The trial is for genuine evaluation and we may withdraw it if the services are misused or the terms are breached.
Unless your SOW says otherwise, a typical project includes a homepage and up to four inner pages, basic SEO setup such as titles and meta descriptions, tracking via tools like Google Analytics or Tag Manager where possible, and lead capture through forms and web chat connected to automations, together with a reviews call‑to‑action or widget. You have up to two rounds of revisions before launch. A round of revisions means you send one consolidated set of feedback and we deliver one set of changes in response. Pages are approved by written sign‑off, and email confirmation is fine. The go‑live timeline starts after we have completed intake, received the deposit, and received the required assets, and our standard delivery target is two weeks provided we have everything we need.
To keep momentum, you agree to provide your logo, brand assets, content and photos, domain and DNS access, and access to Google and Meta as needed within five days of payment. If we do not receive the required items, the timeline will move. If there is a long delay, we may pause the project and place it back in our queue.
Billing is handled through our website checkout using Stripe. The monthly fee is £497 and your subscription auto‑renews monthly until you cancel. If a payment is late, a late fee of ten percent per month may be applied after a seven‑day grace period. If an invoice remains unpaid for fourteen days, we may suspend services. We will retain your data while we work to resolve the issue. After the trial, fees for services already provided are not refundable.
If a payment is disputed or reversed, we may pause services immediately to avoid extra costs. This can include access to your Hashspace Digital account, advertising, campaigns, phone numbers and SMS, and any new production work. We will keep your data for thirty days while the issue is investigated. If you have a billing concern, please email [email protected] and allow five business days for us to resolve it before you start a chargeback. If a valid invoice is disputed, you agree to pay a reasonable administration fee that covers our time and the payment processor’s fees, or a fixed £45 if that is stated in your SOW. We will restore services once the chargeback is withdrawn or decided in our favour and all overdue sums together with any administration fee are paid. Deposits that have been rolled to month four, approved or accepted work, third‑party platform spend, and monthly services already provided are not refundable.
Hashspace Digital is your central hub for CRM, inbox, automations, booking, reviews and reporting, and it runs on a third‑party platform (GoHighLevel). We create your sub‑account and provide logins for your team. The platform evolves over time and features may change or be replaced with similar capabilities, and we will keep your core flows working. Support is available Monday to Friday from 9am to 5pm UK time by email, and we aim to reply by the next business day. Because we rely on third‑party platforms, we work to industry‑standard average uptime but we do not guarantee uninterrupted service, and third‑party outages are not our liability.
We follow platform rules, including Google’s review policies. We do not send or solicit fake reviews, and we do not offer incentives that breach platform policies. You agree to supply only genuine customer contact details for review requests. If we manage advertising, budgets are paid directly by you to the advertising platforms from your own payment method, and we are not liable for policy changes, account suspensions or platform errors.
We may need access to your CRM and other accounts to deliver the services and we will handle personal data only to provide those services and keep it secure. After cancellation, we will delete personal data within thirty days of your written request unless we need to retain it for legal or accounting reasons. For your customers’ data you are the data controller and we are your processor, and we will act on your documented instructions to provide the services.
We like to showcase the work we do together, including logos, screenshots and anonymised results. We will usually ask your permission first, and we will remove anything you reasonably object to.
Small tweaks are part of normal delivery, but bigger changes will be treated as a change request with a fresh quote and an adjusted timeline. Anything not listed in the SOW is considered an extra.
Our total liability for any claim is limited to the fees you paid in the three months before the issue arose. We are not liable for indirect or consequential loss such as lost profit, lost data or loss of business, for third‑party outages, or for events outside our reasonable control as described under Force Majeure.
Both parties will keep non‑public information confidential and will use it only to deliver the project. Subcontractors and tools we use are subject to similar confidentiality duties.
This is a rolling monthly service and you can cancel at any time by giving fourteen days’ notice by email to [email protected]. We will confirm your official cancellation date and services will end on that date. We may pause or end services for non‑payment or chargebacks as described earlier. After termination your access ends, and you can ask us in writing to delete data in line with our data section.
Neither of us is responsible for delay or failure caused by events outside our reasonable control, such as provider or internet outages, strikes, changes in law or natural disasters. We will keep each other informed and resume normal service as soon as possible.
